About the Role

We are seeking a highly organized, detail-oriented Part-Time Remote Operations & Administrative Assistant to support the day-to-day operations, vendor coordination, documentation, and light marketing efforts of a multi-location salon suite business.

This role is ideal for someone who is proactive, tech-savvy, and comfortable working independently while following structured approval processes. You will help research vendors, obtain quotes, coordinate services, organize information, and support operational and marketing initiatives.

Key Responsibilities

Operations & Vendor Support

  • Research vendors and obtain competitive quotes (signage, repairs, equipment, services)
  • Coordinate and follow up on maintenance and repair requests
  • Assist with ordering supplies and equipment after approval
  • Organize receipts, invoices, and expense documentation

Administrative & Documentation Support

  • Assist with updating policies and operational documents
  • Prepare documents for electronic acknowledgment and agreement
  • Maintain accurate records and follow up on outstanding items

Systems, Automation & Technology

  • Assist with configuring workflows in Make and Airtable
  • Support setup and updates in business software (e.g., Quo)
  • Update and maintain online directories and intercom system information

Marketing & Digital Support

  • Research new lead sources and marketing opportunities
  • Assist with creating flyers, signage, and facility guides
  • Help set up and manage social media pages (Instagram)
  • Support basic landing page creation and marketing campaigns

Required Qualifications

  • Strong organizational and time-management skills
  • Excellent written communication and follow-up
  • High attention to detail and accuracy
  • Ability to research, compare, and summarize information clearly
  • Comfortable using Google Workspace (Docs, Sheets, Drive)
  • Ability to manage multiple tasks independently in a remote environment

Preferred (Not Required)

  • Experience in operations, property management, or administrative support
  • Familiarity with Airtable, Make (Integromat), or similar automation tools
  • Basic design experience using Canva or similar platforms
  • Experience supporting marketing or social media initiatives

Pay: $23.00 per hour

Expected hours: 15.0 – 25.0 per week
